*Position Summary* The Hearth and Hardware Warehouse and Operations Manager plans, organizes, and monitors the receiving, storage and distribution of all items received from suppliers ensuring a smooth and consistent operation.
This will ensure the inventory and supplies are located and distributed to proper departments and stores in an effective and efficient manner as needed to satisfy internal and external customer requirements, while supervising all warehouse associates and subcontractors.
This position also must ensure that all processing is done as to maintain proper A/R procedure.
This position has both Hearth and Hardware responsibilities as part of the job function.
All Hearth functions report to Director of Hearth, Fireplace, Hot Tub and Service Operations and all Trucking, pellet, birdseed, grill, and other hardware items report to Director of Operations MD/NJ.
*Job Functions* · Monitors the unloading of all materials into the warehouse; ensures materials are staged for counting and inspection; ensures receiving reports accurately report material received.
· Resolves discrepancies with accounting regarding invoices, packing slips, and receiver reports.
· Monitors the flow of paperwork from receiving to inventory control for timely data entry.
· Oversees the movement of material from receiving to the warehouse in an efficient, effective and safe manner.
· Must receive all materials into inventory in a timely manner including invoicing and submitting for payment of invoices.
· Maintains a personnel structure and staffing level to accomplish the warehouse and receiving mission in an effective and efficient manner.
· Manages time, attendance, and day to day functions of locations Sales Team.
· Plans and coordinates work, trains and motivates, monitors and evaluates performance of warehouse and receiving associates.
· Promotes and ensures staffs ability to safely operate material handling equipment to move materials to and from storage configurations.
· Counsels, records and disciplines staff as necessary to ensure polices and procedures are followed.
· Must oversee operations of the Hearth and Hot Tub Service department functions deployed out of Forest Hill.
· Must ensure drivers and technicians are dispatched efficient and in a timely manner · Must ensure drivers and technicians complete necessary paperwork including but not limited to route sheets, delivery forms, and service tickets.
· Must ensure all drivers and technicians adhere to all safety standards and procedures.
· Ensure that ALL serialized merchandise that leaves the warehouse are visually documented and photos sent to Operations Manager and Customer Service Representative.
· Must verify all available inventory to fulfill customer orders, for both installation(s) and pick-up(s).
· Must notify Category management and Operations manager when stock levels fall below established par levels.
· Must stage repair parts for scheduled service appointments.
· Must provide physical receipt and stocking of merchandise orders.
· Must communicate with sub-contractors for material pick up and returns of installations.
· Monitor all inter-company deliveries from store to store.
· Must continuously monitor all customer deliveries including but not limited to grills, pellets, completion components, etc.
· Facility manager must be the point of contact for customer order status as needed.
· Always represent the company in a positive manner.
· Must treat inter-company mail as an asset and get it to the appropriate locations in a timely manner.
· Must be forklift certificated, and maintain certification for operations and safety training – Trainer Certification.
· Responsible for the supervision of company drivers and warehouse associates.
· Ensure drivers files are completed and in compliance with HR standards.
· Supervise and coordinate all warehouse material storage and handling safety at all Maryland locations.
· Participate in all company safety training.
· Be “customer ready” at all times.
· Uphold cleanliness standards (including, but not limited to, refraining from smoking in any Company-provided vehicle) in vehicles and work areas and complete weekly equipment maintenance checklist.
· Maintain entire warehouse property including but not limited to warehouse, office spaces, outdoor storage containers, lawn maintenance, and vehicles.
· Participate in the processing of new shipments and help the team to keep the receiving and back stock area clean and organized.
· Be alert for possible merchandise losses.
Protect all company assets and report any missing or damaged merchandise to your supervisor.
· Check condition of box(es) to ensure that there is no damage · Load and unload cargo, or help others with loading and unloading.
· Read transport documents to determine assignment details.
· Must immediately inform supervisor of any issues with company vehicles or equipment when they arise · Must immediately inform supervisor of any issues regarding the facility or personnel · Must maintain a valid driver’s license.
· Report vehicle defects, accidents, traffic violations or damage to vehicles · Must maintain flexible availability based on the needs of the business.
Weekend work will be needed.
· Perform other tasks as asked by district and executive team.
