The Krieger School of Arts & Sciences is seeking an Administrative Manager to serve as the lead administrator supporting the school’s transnational studies and related programs.
The Administrative Manager partners with program and center leadership by providing strategic direction and managing a variety of complex administrative responsibilities in the areas of financial responsibilities, facility administrative support, events, and the onboarding of new faculty and staff.
The administrative manager fosters improvements in policies and procedures and ensures efficient operations.
Furthermore, the Administrative Manager maintains and nurtures effective communication and partnerships throughout the School and University by conferring with leadership on issues about administrative functions and proactively representing their assigned areas.
The administrative manager is directly responsible for the supervision and performance management of staff.
Specific Duties & Responsibilities Performance Management Supervise administrative staff.
Conduct annual performance reviews of administrative staff.
Oversee staff training and development.
Provide ongoing feedback and constructive criticism.
Prioritize and direct work efforts, giving guidance and direction.
Manage conflict and seek common areas of agreement.
Motivate for higher collaboration and performance.
Conduct interviews and make recommendations for administrative hires.
Financial Oversight Establish and maintain the budgets for each area.
Prepare a detailed annual department budget for approval by the Dean's Office.
Review and approve online payment requests, travel and expense reimbursements, shopping carts, fund transfers, and purchase orders.
Review procurement card transactions to ensure compliance with policies; approve transactions, code paper receipts and maintain records.
Partner with Budget Analyst to track budget trends to ensure fiscal responsibility, creating periodic expense reports for all accounts as needed.
Oversee reconciling of accounts.
Payroll Management Oversee the payroll process for faculty, staff, and visiting scholars.
Initiating ISRs as needed.
Review all payroll budgets for accuracy.
Administration & Facility Management Manage, monitor, and coordinate office space needs as necessary with the Office of Facilities Management.
Maintain a key tracking system for all keys issued to faculty, staff, and students.
Coordinate in collaboration with administrative staff all meetings, and special events for each area.
Oversee program and center website maintenance to ensure accuracy and timeliness of content.
Other duties as assigned.

Prioritize multiple responsibilities to meet the demands of a high-volume office environment.
Display excellent communication skills, interacting with faculty, students, and staff using tact, diplomacy, and proper judgment.
Maintain a professional business demeanor in all departmental communications, both internal and external.
Proficiency with databases/spreadsheets and JHU financial systems (SAP).
Knowledge of payroll system and budget administration.
Exercise good judgment with full accountability and in compliance with JHU policies.
Readiness to recognize and define problem areas and to recommend/implement corrective action.
Minimum Qualifications Bachelor's Degree in Business, Finance, Accounting or other related field.
Five years progressively responsible professional-level administrative or financial experience related to monetary or non-monetary resources ofa department, center or unit.
Master's degree in a related field may substitute for required experience and additional experience may substitute for education, to the extent permitted by the JHU equivalency formula.
Preferred Qualifications MBA or Masters in a related field.
Administrative, supervisory, and financial management experience in a university setting.
