This position will serve as the first line of interaction with students, faculty and staff who come to the Dean’s Suite and requires frequent collaboration with students, faculty, and staff.
This position provides support to the law school’s adjunct professors teaching in all its academic programs.
Administrative support for adjunct professors typically includes JD and non-JD programs and involves tracking attendance of students in courses taught by adjuncts, arranging trainings, running course learning management systems, and communicating with students regarding course issues, acting as a liaison between adjunct faculty, the law school, and the students.
This position will assist law school Center Directors with special projects.
This position comes with minimal supervision and a high-volume workload.
Key Responsibilities: Adjunct Faculty Support: • Manage adjunct onboarding each semester, paying close attention to process improvement and increasing adjunct engagement • Update admin team site with relevant adjunct semester information • Plan adjunct training sessions, as needed • Update adjunct handbook throughout the year • Assist adjuncts to navigate and manage learning management systems • Adjunct book orders/complimentary copy orders • Assist adjuncts with attendance, as needed • Edit/posting midterm and final exams • Assist with midterm and final exam reviews • Create, edit, and post syllabi • Create, update, and post assignments • Update administrative assistant Teams site with relevant information for adjunct faculty • Assist with any class preparation necessary • Serve as a liaison between faculty and students • Order supplies for the semester/manage adjunct faculty area • Assist chair of the adjunct review committee with administrative tasks, as needed • Complete expense reimbursement forms/travel forms • Regular meetings with Associate Dean for Academic Affairs and Registrar team relating to adjunct support needs, policies, and procedures.
• Assist in gathering information needed to update adjunct web pages • Other adjunct assistance, as needed General Law School & Center Support: • Assist Director of Diversity, Equity, Inclusion and Belonging, and, as needed, Executive Directors of the Centers, with administrative tasks, including event planning, implementation, and support.
• Administrative support for all law school study abroad programs.
• Assist with midterm and final exam proctoring.
• Assist Administrative Assistant team with faculty support, as needed • Work with event team as needed, assisting with signature events.
• Comprehensive event support, as needed, including: • Collect detailed information about events • Contact vendors for quotes, including catering • Manage all administrative tasks related to events • Event execution • Travel planning for event participants • Make internal event requests, such as booking space, set-up, and AV requirements • Assist to assess events upon completion and make suggestions for improvement • Document all event plans in appropriate digital file • Acquire general knowledge of law school policies and procedures and assist teams to navigate • Attend monthly staff meetings and administrative assistant team meetings • Other duties as assigned Dean's Suite Support: • Serve as the primary receptionist at the front desk of the Dean’s Suite while managing the suite space.
Serve as resource for any inquiries.
• Manage general law school call queue and triage calls and visits.
• Stock classrooms with supplies on an ongoing basis and communicate supply needs.
• Manage mail and package delivery for the school of law.
• Assist with work orders and building maintenance requests • Assist Dean’s Assistant in special projects, as needed • Other duties, as assigned Required Education and Experience Education: High School Diploma or GED Experience: Three years working in an administrative role.
Additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
