We are seeking a Medical Training Program Administrator (MPTA) who will provide support for assigned educational activities: courses, clerkships, horizontal strands (collectively “courses”) in the four-year curriculum leading to the M.
D.
degree (Undergraduate Medical Education, or UME).
The assigned courses may change over time; currently the focus is on the first year of the UME curriculum.
Support includes scheduling, managing the curriculum database in the curriculum management software (currently OASIS), and managing course materials in the Learning Management System (currently Canvas).
This position is part of the Johns Hopkins University School of Medicine (JHUSOM) Office of Medical Student Curriculum (OMSC), reports to the Senior Medical Training Program Administrator, and operates as a part of a team that supports and manages the overall UME curriculum.
The position interacts with a wide variety of JHUSOM physician and basic science faculty, senior academic and administrative executives, staff, and students.
They work closely numerous stakeholders, including but not limited to the Assistant Dean for UME, the Office of Online Education, the Office of Assessment and Evaluation, the Office of Information Technology (OIT), the Registrar’s Office, the Office of Medical Student Affairs, course and clerkship directors, course and clerkship coordinators, students, and faculty.

The Medical Training Program Administrator ensures that all aspects of an assigned course operate in a smooth, timely, and professional manner.
This position will perform duties of a sensitive and confidential nature, including, in some cases, student counseling.
Specific Duties & Responsibilities Specific duties and responsibilities include, but are not limited to, the following.
Manage daily operations of assigned courses, to include organizing and prioritizing necessary tasks, initiating changes, and resolving issues as they arise.
Serve as backup support for other courses.
Model professional behavior and communication.
Support a diverse and inclusive environment for students, faculty, and staff.
Serve as the first point of contact for medical students in the MTPA’s assigned courses.
Collaborate with the OMSC team to create process efficiencies related to curriculum administration.
Lead all aspects of course support, including the following, Manage Course Materials for electronic distribution.
Use the learning management system (LMS) platform to organize the course, communicate with students, and post course materials.
Reserve appropriate space for course events.
Prepare final grades for submission.
Post and report grades to the Registrar’s Office.
Assist with recruiting small group facilitators.
Manage student attendance tracker system and reports.
Organize faculty meetings.
Prepare course evaluations for distribution.
Create student groups and assignment lists for course activities.
Manage the various software platforms (currently including OASIS, Canvas, ActivTracker, Qualtrics, and New Innovations) for each course.
Management includes maintaining student enrollments, scheduling events/courses; managing changes to scheduling and room reservations; entering objectives; entering curriculum mapping information; maintaining appropriate user access to the systems; and providing technical assistance to faculty and students.
Work with Offices of Online Education and Information Technology staff to implement educational sessions and organize online resources, including meeting students’ needs for approved accommodations.
Develop and maintain a thorough understanding of curricular goals, objectives, policies, and standards of performance for each course.
Regularly communicate with students regarding logistics and requirements of the course.
Provide primary support for the course director in matters relating to the course.
Represent the course director at committee meetings, including representing departmental activities, issues, and concerns.
Communicate committee decisions back to director.
Monitor the student formative and summative evaluation process and maintain complete and accurate student files.
Notify course director of any performance issues or discrepancies.
Maintain student records in a confidential manner Assist in preparation of materials and reports for the Student Assessment and Formational Committees meetings.
Participate in institutional, departmental, community, or national meetings as ongoing professional development, and remain informed about current academic trends.
Attend meetings as directed: currently OMSC meetings, Horizontal Strand Core Theme Leader meetings, TIME/Translational Science Course meetings, and Clerkship Coordinator meetings.
Assist with planning and implementing events (e.
g.
, curriculum retreats, Interprofessional Education (IPE) activities).
Proctor and administer National Board of Medical Examiners (NBME) shelf examinations or other required examinations in accordance with NBME requirements.
Recruit faculty/preceptors for course/clerkship teaching; prepare and collate faculty teaching evaluations and letters of gratitude for participation.
Develop and maintain thorough knowledge of the UME calendar and course offerings, including the key responsibilities of other offices (e.
g.
, Office of Medical Student Affairs, Registrar’s Office, Office of Online Education, Office of Information Technology).
